1. About These Terms

These Terms and Conditions (‘Terms’) govern your use of the KULSA platform at kulsa.co.uk and your registration for KULSA events. By creating an account or registering for any event, you agree to these Terms in full.

KULSA (Korean UK Life Science Association) is a non-profit community organisation dedicated to fostering a strong and collaborative community for Korean researchers, scholars, students, and professionals working in the life sciences across the UK.

These Terms are governed by the laws of England and Wales.

2. Membership & Eligibility

  • KULSA is a members-only platform. Registration and event access are restricted to approved members.
  • You must provide accurate, complete information when creating your account and keep it up to date.
  • You are responsible for maintaining the security of your account credentials.
  • KULSA reserves the right to suspend or terminate accounts that breach these Terms.

3. Event Registration

3.1 Free Events (No Verification Required)

Upon successful registration, your order status is immediately confirmed and a confirmation email is sent to you.

3.2 Events Requiring Verification

Some events require admin approval before your place is confirmed. Registering for such an event constitutes an application, not a guaranteed booking. Your order will be set to ‘Awaiting Verification’ and you will receive an ‘Application Received’ email.

  • If approved, you will receive a confirmation email and your place is secured.
  • If rejected, your application will be declined, your ticket allocation will be released, and you will receive a rejection email.
  • KULSA does not guarantee approval and is not liable for any costs incurred in anticipation of approval.

3.3 Paid Events

For paid events, you will be redirected to Stripe’s secure payment page to complete your purchase. Your registration is only confirmed upon successful payment. KULSA does not store your card details.

3.4 One Registration Per Event

Only one active registration per event per member is permitted. If you already have an active order for an event, you will not be able to register again.

4. Ticket Availability

Ticket availability is subject to capacity limits. KULSA uses atomic inventory management to prevent overselling, but we cannot guarantee availability at the time of checkout. If a ticket type sells out before your order is confirmed, you will be notified and no charge will be made.

5. Cancellations

5.1 Cancellation by You

You may cancel your own registration in the following circumstances:

  • Orders with a status of ‘Pending Payment’ may be self-cancelled at any time before payment is completed.
  • Orders with a status of ‘Awaiting Verification’ may be self-cancelled before a decision is made.
  • Confirmed (‘paid’) orders cannot be self-cancelled. Please contact us at ask.kulsa@gmail.com if you have exceptional circumstances.

To cancel, use the ‘Cancel Order’ button on your order confirmation page or contact us directly.

5.2 Cancellation by KULSA

KULSA reserves the right to cancel registrations in the following circumstances:

  • The event is cancelled or postponed
  • The member is found to be ineligible
  • There is a breach of these Terms

If KULSA cancels a paid registration, a full refund will be issued to your original payment method.

5.3 Stripe Session Expiry

Stripe payment sessions expire after 30 minutes. If your session expires before payment is completed, your order will be automatically cancelled and any reserved ticket allocation will be released. You may attempt to register again if tickets remain available.

6. Refunds

  • Free tickets: no monetary refund applies.
  • Paid tickets: refunds are issued at admin discretion, except where required by law (e.g. event cancellation).
  • If a refund is approved, it will be processed via Stripe to your original payment method. Refund timescales depend on your bank but typically take 5–10 business days.
  • If an event is cancelled by KULSA, a full refund will be issued automatically.

7. Pricing

All prices are displayed in GBP (British Pounds) and include any applicable charges. There are no additional hidden fees. KULSA does not apply surcharges for payment method.

Prices are set per event and per ticket type. KULSA reserves the right to change prices for future events. Under the Digital Markets, Competition and Consumers Act 2024, we will never display misleading prices or hide mandatory charges.

8. Non-Transferability of Tickets

Tickets and registrations are personal to the member who registered and are non-transferable. You may not resell, transfer, or assign your ticket to another person. KULSA reserves the right to cancel any ticket found to have been resold or transferred in breach of this clause, without refund.

9. Event Conduct

By attending a KULSA event, you agree to behave respectfully towards other members, staff, and venue personnel. KULSA reserves the right to remove any attendee from an event without refund if their conduct is deemed inappropriate or disruptive.

10. Intellectual Property

All content on kulsa.co.uk, including text, images, and the KULSA logo, is the property of KULSA and may not be reproduced without written permission.

11. Limitation of Liability

KULSA is a non-profit community organisation and, to the extent permitted by law:

  • We are not liable for any indirect, consequential, or special losses arising from use of the platform or attendance at events.
  • Our total liability to you in connection with any event shall not exceed the price paid for the relevant ticket.
  • Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud, or any liability that cannot lawfully be excluded.

12. Changes to These Terms

We may update these Terms from time to time. Material changes will be communicated via email or a notice on the website. Your continued use of the platform after such notice constitutes acceptance of the updated Terms.
